  6. Here are some further explanations on  how information in this data bank is
  7. organised.  If you have completed the tutorial in the previous section, you
  8. should be familiar with the basic menu flow.
  9.  
  10. All  information about  each  particular individual  is  kept on  2 related
  11. screens.  The first  screen contains mainly contact  details and the second
  12. screen date particulars.  The  person's name is given  on the top left hand
  13. side of the date screen so that you always know who you are looking at.
  14.  
  15. The text you enter in the pop-up  windows is stored in a special file. This
  16. means that virtually  no additional disk  space is taken  up by persons for
  17. whom you make no comments.  This  is an advantage over database types where
  18. a fixed amount of disk space is  consumed for each record regardless of its
  19. contents.

  21. The  lay-out of  the second  screen containing  the dates  warrants further
  22. explanation.  There  are two sections,  one for business  deadlines and the
  23. other for birthdays and Christmas cards.

  25. The reason why you may enter up  to 5 birthdays for an associated person is
  26. that you may  have the family's address  on the first  screen and the first
  27. names of each family member of the second.  This saves you having to keep 5
  28. records for a single family with the  same address.  It is not necessary to
  29. state the  surname again  when specifying dates.   If in  doubt, the system
  30. will tell  you who  the person  is associated  with when  you use  the date
  31. advisor. Nicknames are therefore acceptable.

  33. You can enter up to two business deadlines for each individual or company.
  34. Always consider WHO is most directly  associated with the event. It is that
  35. person's information with whom the  deadline is connected.  For example, if
  36. your share options expire in a few  months time and you wish to be reminded
  37. by your computer,  where in your  data bank would  you store this deadline?
  38. It would have to go on the second  screen of the company or person whom you
  39. will be contacting regarding this matter, your stock broker for example.

  41. Here is a  tip regarding the  deadline and birthday  comments. There is one
  42. text window for  what may be 5  different birthdays. If  you make a comment
  43. regarding one person, how will the program know to retrieve the comment for
  44. that particular first name and not for others?  The answer is that you have
  45. to mention the person's first name anywhere in your notes.  If you do that,
  46. the computer will  guess that this message  may be of  interest to you when
  47. the person's date comes up and automatically offer you a retrieval.
